1. Set Up Your Experience Manager Account
Once your event products have been provisioned as per the terms of your contract, EventMobi will send you an email invitation to set up your Experience Manager account.
- Check Your Email: Look for the invitation from EventMobi (noreply@eventmobi.com)
- Create Your Account: Follow the instructions in the mail to create your username and password.
2. Log into Experience Manager
With your account set up, it's time to log in and begin the event activation process.
- Access your Experience Manager account by visiting experience.eventmobi.com
- Log in with the username and password you created during the setup process.
3. Select Your Organization and Add Event
Once logged in, you'll need to navigate to your organization's dashboard and begin adding your event.
- Select Your Organization: Find your organization's name in the list.

- Click 'Add Event': Locate the green 'Add Event' button in the Events tab to start the activation process.

4. Choose Your Event Credit
In the pop-up window that appears, you'll see the available credits and products you've purchased.
For Per Year Licences, please refer to this article how to create events.
- Identify Your Credit: Look for the credit named after your event. If multiple credits are displayed, choose the one you wish to activate.
- Proceed: Click 'Continue' to move to the next step.

When activating an Event Credit, be sure to take note of the Credit Expiration date displayed on the right side. Once this date has passed, the credit will no longer be usable for future events. It's also essential that the dates of your event fall within the validity period of this expiration date.
5. Choose Your Content Options
When setting up your Event App, you have two choices:
- Start Fresh (Blank Event):
- Description: Begin with a brand-new event that has no existing content.
- Use When: You want to create the event from scratch.
- Duplicate a Previous Event:
- Description: Replicate the overall setup and design of a past event from your organization.
- Use When: You want to reuse content and design from a previous event.
Pro Tip: To easily locate an event for duplication, simply type the initial letters of the event name or code.
Remember: It's best to refrain from duplicating events older than two years to avoid any potential issues with the system's current functionalities.

Duplicating a Previous Event
Event duplication is focused on helping you establish the structure and branding for your Event App, rather than transferring content that is subject to change with your new event.
When duplicating a previous event, you can pick and choose exactly what content you'd like to duplicate, giving you more control and saving time when setting up a new event.
Structure & Branding Elements Available to Duplicate
- Event Icon, Home Page widgets and layout
- Designer Pages created in the Page Designer
- Event Design Studio (Branding & colors, Loading & Menu Image, and Advanced Designer updates, if applicable)
- Event App Sections
- Session Tracks, Roles and Settings
- People Groups and Custom Fields
- Company Groups, Custom Fields and Company Grouping Label (Settings)
- Document Groups
- Event Information section (Help Desk and About pages)
- Badge Designs
Expanded Duplication Coverage
In addition to the above, you can also choose to duplicate:
- Privacy & Terms
- Companies
- Documents
- Website
- Email Campaign templates
- Registration
- Group Discussion
- Gamification
- MobiAI
What Doesn't Transfer
The Event Details and contents of your libraries — such as sessions and profiles — will not be transferred during app duplication, as these are typically items specific only to your previous event.
For this reason:
- While Folder sections are duplicated in the Sections area, the content (pages and links) inside them is not.
- Link section types will duplicate in the new event, but will not include content for any URLs that were set to link to eventmobi.com — this ensures your new event won't redirect attendees to an outdated event.
6. Finalize and Activate Your Event
Complete the activation process by providing essential details about your event.
- Event Name: Specify the name of your event.
- Start and End Dates: Ensure to input the correct start and end dates to allow for session additions within the specified date range.
- Event Code: Select a unique event code that will be included in your Event App URL (eventmobi.com/EVENTCODE) and will be used by attendees to easily locate your event through the EventMobi Universal App.
- Click the 'Create Event' button to save your changes.

The standard event duration is up to 7 days. To prevent any problems with saving agenda items, make sure to set the start and end dates within this timeframe. If you require an event that exceeds 7 days, kindly reach out to your Account Manager to discuss the required adjustments.
Ensure the event start and end dates are before the event credit's expiration date to proceed with event creation. Contact EventMobi's Support Team to change your event dates after event creation if needed.
7. Verify Event Activation
Double-check your event creation in the Events list, then feel empowered to strategize, coordinate, and personalize your event within the Experience Manager platform for a smooth and enjoyable experience. Happy planning!
