Setting Up an Integration with RegFox
Connecting your RegFox registration form with EventMobi allows attendee information collected during registration to flow automatically into your EventMobi event. This saves you manual data entry, keeps attendee lists up to date, and ensures badge printing and attendee profiles are always in sync.

Step 1 – Access the EventMobi Integration Hub

Log in to your EventMobi Experience Manager.

Open the event you’d like to connect.

From the left navigation menu, select Integrations → Integration Hub.

Browse available integrations and locate RegFox → EventMobi.
Step 2 – Install the RegFox → EventMobi Solution

Click RegFox → EventMobi.
-
Review the overview panel for a summary of what this integration does.

Click Install Solution and confirm when prompted.
Tip: Double-check that you are installing the integration in the correct event if you manage multiple ones.
Step 3 – Choose an Integration Scenario (Add vs. Update)
After installing the solution, you’ll see Select integration scenarios with two options:

Add new attendees from RegFox to EventMobi

Creates new attendee records in EventMobi when a new registration is completed in RegFox.

Recommended to install first for your initial flow.

Sync attendee updates from RegFox to EventMobi
-
Updates existing EventMobi attendee records when registration details change in RegFox (e.g., name, email corrections, custom fields).

Optional but recommended once the “Add” flow is in place.

What to do now
-
Click Install beside Add new attendees from RegFox to EventMobi.

(Optional) Return and Install Sync attendee updates if you want changes in RegFox to keep existing EventMobi records up to date.

Proceed to the connection and mapping steps below.
Notes
Both scenarios sync the following core fields by default: First Name, Last Name, Email, External ID, plus any Custom Fields you map.
Installing both scenarios covers both new registrations and changes to existing registrations.
Step 4 – Choose Your RegFox Registration Page

From the Product/Source dropdown, select regfox.com.

In the Page field, choose the specific RegFox registration form you want to pull attendee data from.

Save your selection to confirm the source.
Note: You can repeat this setup later if you have multiple registration pages.
Step 5 – Map Your Fields
Next, define how data from RegFox will appear inside EventMobi. Use clear, one-to-one mappings where possible.

First Name → First Name (required)

Last Name → Last Name (required)
-
Email → Email (required; used for deduplication)

Company → Company (optional)
-
Title / Job Title → Title (optional)
-
Ticket Type → Group or Tag (helps define attendee permissions)

Order ID → Custom Field (useful for tracking)
-
Phone → Phone (normalize format)
-
Dietary Restrictions → Custom Field
-
T-shirt Size → Custom Field
Best Practice: Enable Ignore When Empty for optional fields so blank RegFox values don’t overwrite existing EventMobi data.
Step 6 – Schedule Your Sync

Under Settings ⚙️, open the Schedule tab within the integration.

Choose how often you want the sync to run:

Every 5 minutes for active registration periods.
-
Every 15–30 minutes for off-peak times.
-

Click Save and Enable.
Recommendation: During peak registration windows, set to run every 1–5 minutes.
Step 8 – Go Live
Once your test is successful:

Enable the integration permanently.
-
Monitor the first few sync cycles using the History tab.
-
Notify your team that registration data is now automatically synced.
Step 9 – Test Your Integration

Go to your RegFox registration page and complete a test registration using a unique email.
-
Wait for the integration to run or click Run Once Now if available.
-
In EventMobi, navigate to People → Attendees.
-
Search for your test record to confirm the import.
Tip: Check the integration Logs to confirm a “Success” status with one processed record.
Troubleshooting Common Issues
No attendees appear in EventMobi

Confirm the correct RegFox page is selected.
-
Ensure the integration schedule is active.
-
Reconnect your RegFox account if authorization expired.
Duplicate attendees
-
Verify that Email is set as the deduplication key.
-
Merge any existing duplicates inside EventMobi.
Missing fields
-
Check that fields are mapped correctly.
-
Make sure “Ignore When Empty” isn’t blocking valid updates.
Integration stopped running
-
Re-enable the schedule or manually run the integration.
-
Review logs for API rate-limit or timeout messages.
