# Multi-Factor Authentication (MFA) for Experience Manager
## Multi-Factor Authentication (MFA) adds an extra layer of security for organizers logging into EventMobi's Experience Manager. When MFA is enabled, organizers must verify their identity with a second step which is a 6-digit one-time code or a magic link sent to their email before they can access the platform. MFA is configured at the organization level, meaning it applies to all organizers within that organization once enabled.

### **1. Who Can Enable MFA?**
MFA is controlled through the **Security tab** in your experience manager organization — a tab that only certain roles can access.
**Experience Manager currently has two organizer role types:**
**Admins**
- Have full access to Organization Settings, including the Security tab
- Can enable **or** disable MFA for the entire organization
- **Any** admin in the organization can toggle this setting
- If your organization has multiple admins, be aware that all of them will have this ability
**Collaborators**
- Have **no access** to the Security tab
- Cannot enable, disable, or view the MFA setting
- Are still subject to MFA requirements once it is enabled by an admin

### 2. How to Enable MFA
1. Log in to **Experience Manager**
2. Navigate to your **Organization Settings**
3. Open the **Security** tab
4. Toggle MFA on

⚠️ **Important:**
When MFA is enabled, **all organizers in your organization will be logged out of Experience Manager immediately**. Plan to enable this during a low-traffic time (e.g., end of business day) to minimize disruption.

### **3\. The MFA Login Flow (Organizer Experience)**
Once MFA is enabled, every organizer follows this login process:
1. Enter your **email and password** as usual
2. A **6-digit one-time code** (or a same-browser magic link) is sent to your registered email address
3. Enter the code within **10 minutes** before it expires
4. You have **5 attempts** to enter the code correctly
5. Once verified, you are logged into Experience Manager
#### Magic Link Option
A magic link is also included in the verification email for **same-browser logins** — clicking it will log you in without needing to type the code. Note: cross-device magic link compatibility is planned for a future release but is not included in the initial version.
#### What Does the Verification Email Look Like?
- The **"sent by" field** displays your **organization name** (not an event name or a generic EventMobi address)
- This helps organizers identify the email as legitimate

### 4. Email Deliverability: What to Watch For
For organizations with strict email security policies (e.g., banking, government, medical associations):
- MFA emails may potentially be **quarantined by spam filters**
- However, since organizers must have already accepted an **Experience Manager invitation email** to access the platform, they are typically already on the organization's allowlist
- If deliverability is a concern, work with your IT team to whitelist EventMobi's sending domain

### 5. Removing Access for a Former Organizer
Once MFA is active, removing an organizer's access is straightforward:
1. **Remove the user's email from your identity provider** (e.g., Google Workspace, Microsoft 365)
2. That user will no longer be able to receive the MFA verification code and will be blocked from accessing Experience Manager automatically
No separate step is required within EventMobi once their email is deactivated.

### **6. FAQ**
**Q: Does MFA apply per event or per organization?** A: MFA is configured at the **organization level** and applies to all organizers across all events in that organization.
**Q: Can individual organizers opt out?** A: No. Once an admin enables MFA at the organization level, it applies to every organizer in that organization.
**Q: What if I don't receive my verification email?** A: Check your spam/junk folder first. If the issue persists, contact your IT team to ensure EventMobi emails are not being filtered, or reach out to EventMobi Support.
**Q: How long is the code valid?** A: 10 minutes. After that, you'll need to request a new code.
**Q: Is there a risk of being locked out?** A: You have 5 attempts to enter the code. If you're having trouble, ensure you're using the most recently sent code and that you have access to your registered email.
