EventMobi Integration Hub

Welcome to the EventMobi Integration Hub! This is your one-stop platform for connecting EventMobi with your favourite tools like registration systems, CRMs, marketing platforms, and more. Built right into Experience Manager, the Integration Hub helps you automate workflows, keep your data in sync, and reduce manual work — all without writing a single line of code.

The Integration Hub is organized into three main sections:

1. Solutions

A Solution is a ready-made setup that lets you link EventMobi with another platform in just a few clicks.

Each solution contains one or more scenarios — think of these as automated workflows that handle specific tasks, like syncing registrant data or sending confirmation emails. You can install one or more scenarios depending on what you want to automate. 

We have several solutions available; however, if the platform you're using isn't listed, no worries, reach out to your Account Manager or email us at am@eventmobi.com, and we’ll be happy to help.

2. Apps

This section is where you manage the platforms you’ve connected to.

Whenever you connect a new app during solution setup, it will automatically appear here. From the Apps tab, you can:

  1. View all your connected platforms
  2. Revoke or update access.
  3. Adjust access settings.

Each platform has its own set of permissions and options, so you might notice slight differences between them.

3. History

The History tab shows a detailed log of activity for all your installed solutions.

You may use it to check that everything is running smoothly or to confirm that a sync was completed.

By default, you’ll see today’s activity, but you can filter by date or status to view more details.

Note: In the History tab, “scenarios” are labelled as “automations.”

 

How to Set Up an Integration

Now that you know what the Integration Hub does, here’s how to set up your first solution.

Step 1: Choose a Solution

Go to the Solutions tab in the Integration Hub, then browse or search for the platform you want to connect with.

Step 2: Install a Scenario

Each solution comes with one or more workflows called “scenarios.” Select the workflow that best suits your needs. You can always return to this step and activate more workflows later.

Step 3: Connect Your Platforms

When prompted, allow EventMobi to connect to your chosen platform. Once that’s done, your connection will automatically appear in the Apps section, ready for next time.

Step 4: Map Your Fields

Field mapping tells the Integration Hub how to match up data between platforms.

Because different systems often use slightly different naming conventions for the same information, this step ensures both platforms “speak the same language.”

For example, EventMobi calls an attendee’s profile description “About,” while Cvent calls it “Bio.”

To sync that information correctly, you would map Cvent’s Bio field to EventMobi’s About field.

Most standard fields will be automatically mapped for you, so you may only need to map the custom fields.

For custom fields in your registration platform, make sure you’ve already created those fields in People Library in EventMobi, so that you’ll see them available when it’s time to map.

To map a field, click the EventMobi field you want to use, then select the matching field from the dropdown menu on the connected platform.

Step 5: Start the Automation

Once you’ve mapped everything, click Start to activate the scenario (automation). That’s it! The integration will begin running automatically in the background.

Real Time Syncing versus Data Migration

There are two ways the Integration Hub can sync data between platforms:

  • Real-time sync brings in new data as it happens

  • Data migration brings in any data that was already in your system before the integration was set up, so nothing gets left behind.

Let’s use event registration as an example: 

Sometimes, you might start collecting registrations before setting up your integration with EventMobi. If that’s the case, you can run a one-time data migration to bring those existing attendees into your EventMobi event.

Here’s how to migrate data that was collected before the integration was connected:

  1. Go to My Installation in the Integration Hub.
  2. Find the scenario in the solution you want to adjust and click the gear icon.
  3. Select Automation Timing
  4. Change the setting from Real-time to Data migration.

Once you’re in Data migration mode, you’ll be asked a few things:

❓How often do you want this to run?
Select Once

❓When should the data be transferred?
Choose Transfer data by date and time, then select the range you want to pull from.
To sync for an entire day? Use 00:00 to 23:59 as your time range.

When you’re ready, hit Start. The Integration Hub will automatically pull in your past data. It may take a few minutes, depending on how much data there is, so feel free to take a coffee break while it runs.

 

Once your earlier data has been synced, don’t forget to switch the automation timing back to Real-time. This will ensure any new data, such as attendee signups, continues to flow into EventMobi automatically.

How to Pause or Stop an Integration

If you need to pause or stop an integration:

  1. Go to Solutions > My Installations.
  2. Find the solution you want to manage.
  3. Click Pause or Start to turn the integration off or on

All integrations will be paused at the event end date. To change this date, go to Integration Settings and set the Custom End Date to stop the integration automatically at an earlier date.

 

 

 

 

🔍 Tip

If you’re troubleshooting or making updates to your connected apps (such as changing field mappings), you must first pause the integration, make your adjustments, and then resume it once ready.

 

 

Troubleshooting

If something doesn’t seem quite right with your integration, the Installation Log is the best place to start.

To view the Installation Log for all integrations, go to History.

To view the Installation Log for a specific integration, go to Solutions > My Installations, then click on the Installation Log.

Before diving into errors, it helps to understand how integrations work behind the scenes. To keep your data in sync, EventMobi regularly sends API calls to the connected platform (such as Cvent or HubSpot) to check for any new updates. This happens automatically, usually every minute.

Even if there’s no new data to sync, the system still logs the check(activity) — so it’s totally normal to see lots of activities, even when nothing has changed.

What the Activity Log Is Showing You

EventMobi automatically checks your connected platform every minute to see if there’s anything new to update.

You might notice lots of activity in your Installation Log — even when nothing seems to have changed. That’s because every check is logged, whether or not new data was found.

​​Here’s what the entries mean:

  • With Data: Something new or updated was found and synced.
  • Without Data: No new changes — just a regular check-in. Totally normal!

Using Filters in the Installation Log

When you’re reviewing your Installation Log, filters can help you quickly narrow things down — especially if you’re troubleshooting or looking for a specific moment in time.

  • Date Range
    Choose a specific range to focus on when the issue occurred.

  • Data Set
    • All Events
      Shows every activity that ran, whether or not any data was found.
      (Just a note: in this context, “event” means API activity, not your EventMobi event.)
    • With Data
      Shows only activities where the system found and attempted to sync data. This includes both successful syncs and those that had an error.
    • Successful
      Filters the list to only show activities that synced successfully with data.
    • With Error
      Shows activities that ran into an issue.
      • EventMobi will automatically retry these activities up to five times to help resolve temporary issues on its own.
      • You can click Details beside any error to learn more about what happened. For example, a sync failed because the attendee already existed in your EventMobi event.

    • System
      • Shows system-level actions, like when a scenario was turned on or off. Helpful if you’re checking when someone enabled or paused an automation.
