Setting Up an Integration with Cvent

Connecting your Cvent event to EventMobi automatically transfers new registrants and registration details into your EventMobi event. This eliminates manual data entry and ensures your attendee list stays accurate and up to date.

What to Know Before You Start

API Limitation

  • Depending on your Cvent license, you may have a different number of API call limits. When you reach the limit, the syncing may be interrupted. Please make sure you check the Cvent API call limit with Cvent.
    At EventMobi, we make API calls at a 1-minute interval. This means 1,440 calls per day.

Understanding Cvent Data Types

  • Contact
    Every registrant is linked to a Contact in Cvent’s address book. This is like a central profile that stays consistent across multiple events.

            A Contact is automatically created when someone registers.

  • Attendees
    This is the event-specific registration record. In most cases, the information here will match the Contact.

By default, the EventMobi integration maps the attendee data. You can change this in the field mapping step if you need to pull data from a different source.

⚙️ Setting Up the Integration

1. Install the Solution in Integration Hub

Head to Experience Manager, then install the Integration Hub and find the CVent → EventMobi solution.

2. Install the Scenarios

Cvent has one scenario, Add or update attendees from Cvent to EventMobi,  that covers both add and update attendee workflows.

To install, click Install next to the scenario.



3. Grant EventMobi Access to Cvent

  1. Click Grant Access to open the configuration screen.
  2. Give your connection a name (anything that helps you recognize the Cvent account you’re connecting to)
  3. Select the correct domain – Europe or North America
  4. Paste in your Cvent Client ID and Client Secret

    To find your API key:
    1. Log in to your Cvent account

    2. Go to Admin > Integrations > Rest API
    3. Create a workspace
      1. Name your workspace 
      2. Choose the permissions you wish to grant with the integration.
        1. We recommend enabling “Select All” for a quicker and more holistic setup.
        2. Click save to create the workspace

    4. Grant development access
      1. Once the workspace is created, we need to invite developers to access it to create the Client ID and Client Secret.
      2. Go to Developers, then invite the person who is responsible for creating the Client ID and Client Secret.
      3. Invite the developer and select the workspace you just created.
      4. Once invited, the developer will receive an invitation email that prompts them to create a developer account.

    5. Create an application
      1. Once sign-up is completed.
      2. Create an application.
        1. Fill the application name
        2. Copy and paste this Callback URL to Cvent: https://r.albato.com/oauth/back/state
        3. Set all scopes with “event/.”
      3. View application
      4. Copy your Client ID and Client Secret.
    6. Then, finish setting up the connection by putting the Client ID and Client Secret in the Create a connection to Cvent screen in EventMobi.

      Click Continue.
    7. Log in to the Cvent using your organizer account from the pop-up window.
    8. You have now granted EventMobi access to Cvent.

4. Map your fields

Now that your Cvent connection is in place, the next step is to tell the Integration Hub how to match data between Cvent and EventMobi. This process is called field mapping, and it’s key to making sure everything shows up where it should.

To start, select the Cvent event you wish to connect to EventMobi.

  • Select Event ID - ID
  • Select the event you want to connect

Next select “Create a New Person”

Some standard fields like First Name, Last Name, External ID, Email, Title, Company, and About are automatically mapped for you.


For other standard and custom fields, you will need to manually connect the data points.

To map a field:

  1. Find the EventMobi field in the list
  2. Click on it to open the dropdown
  3. Select the matching Cvent field

You only need to map the fields you actually need for your event. If there are fields in Cvent you’re not planning to use in EventMobi, you can skip them.

Once you have configured it for the step “Create a New Person,” you can repeat the same step for “Update a Person.”

ℹ️ In the scenario, an additional step called Search a Person is there to help the system recognize if an attendee has already existed in EventMobi. If not, the integration will create a new person. If yes, the system will update the attendee information based on the new data from Cvent. This is automatically configured. 

5. Go Live

Click Start to activate your integration.

This will turn on the automation and begin syncing new registrants from Cvent to your EventMobi event.



Once the automation is activated, you can find it in the My Installations tab.


6. Test Your Integration

It is a good idea to run a quick test to make sure everything is syncing as expected.
  1. Go to your Cvent registration page and add an attendee using a unique email.

  2. Wait for the integration (usually a minute).

  3. In EventMobi, navigate to People Library → Attendees.

  4. Search for your test record to confirm the import.
